What if your email, documents, spreadsheets, and meetings could do a little more of the heavy lifting? With Microsoft 365 Copilot, they can. And thanks to Microsoft's new pricing, getting started may cost a lot less than you think.
Let's be honest. Most of us spend far too much time doing things that don't actually move the business forward.
Sorting through emails. Writing the same information three different ways. Trying to remember what was decided in yesterday's meeting. Building a presentation from a document that already took hours to prepare.
It's work. But is it productive work?
At MAKIOS, we're always looking for practical ways to make technology work harder so people don't have to. One of the tools we use is Microsoft 365 Copilot, an AI-powered assistant that works directly inside the Microsoft applications many businesses already rely on.
And it's getting considerably more interesting for small and midsized businesses.
Meet Your New Assistant. It Doesn't Need a Desk.
Microsoft 365 Copilot isn't another application you have to open, learn, and remember to use.
It works inside familiar Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams.
Think of it as having an assistant who can help you find information, organize your thoughts, summarize conversations, and get through routine tasks faster.
Here's where things get interesting.
Outlook: Make Your Inbox Work for You
You open Outlook on Monday morning and discover 87 unread emails.
Some are important. Some are informational. Some have somehow become a 14-person conversation about something that should have taken two minutes to resolve.
Copilot can help summarize long email threads, identify important points, and draft responses.
Instead of reading 23 messages to understand what happened, you can ask:
"Summarize this conversation, identify any outstanding decisions, and tell me what needs my attention."
You still make the decisions and review what gets sent. You simply spend less time digging.
Microsoft Teams: What Did We Actually Decide?
We've all attended meetings that seemed productive until somebody asked what was actually decided.
Copilot can help summarize Teams meetings, identify action items, and organize follow-up information when the appropriate transcription or meeting features are enabled.
Ask it:
"What decisions were made, who is responsible for what, and what still needs to be resolved?"
Suddenly, the meeting becomes something actionable rather than another hour on your calendar.
And if you joined late, Copilot can help you catch up without making everyone repeat the first 20 minutes.
Your coworkers will appreciate that one.
Word: From Blank Page to First Draft
Writing takes time. Especially when you already know what you want to say but haven't figured out how to put it together.
Copilot can help develop first drafts, rewrite paragraphs, summarize lengthy documents, and reorganize content.
You can start with a simple request:
"Create a professional first draft of a customer proposal using these project notes. Keep it concise and include the objectives, scope, and next steps."
It won't replace your judgment or your responsibility to verify the details.
But starting with a reasonable draft beats staring at an empty page.
Excel: Stop Fighting Your Spreadsheets
Excel is incredibly powerful. It's also remarkably good at reminding people that they don't know every formula ever invented.
Copilot can help analyze data, explain trends, suggest formulas, and identify patterns.
Imagine asking:
"Analyze this sales data, identify our strongest-performing products, and highlight anything that looks unusual."
Instead of spending an afternoon building formulas and sorting columns, you can spend more time understanding what the numbers are telling you.
Of course, financial figures and important calculations still need to be verified. AI is helpful, not infallible.
PowerPoint: Less Formatting, More Presenting
You've finished your research, written your report, and now someone wants a presentation.
Naturally.
Copilot can help turn existing information into a PowerPoint presentation, organize the content, and suggest ways to communicate it more clearly.
It won't magically turn a bad idea into a great strategy.
But it can make presenting a good idea considerably easier.
The Big Change: Copilot Is Now Part of a Permanent Business Premium Package
Until recently, getting Microsoft 365 Copilot often meant purchasing another subscription on top of the Microsoft 365 licenses your business already had.
Microsoft introduced promotional bundles to make Copilot more affordable.
The interesting news is that, effective July 1, 2026, Microsoft made its Business Premium with Copilot bundle a permanent subscription offering.
That matters because businesses no longer have to rely on a short-term promotion to access this particular combination of productivity, security, and AI capabilities.
Here's how the published commercial pricing compares:
| Microsoft 365 subscription | Price per user/month | |---|---:| | Business Premium | $22.00 | | Business Premium with Copilot | $32.00 | | Business Premium + standalone Copilot Business promotional add-on | $40.00 |
Illustrative US list pricing as of October 2026, based on annual subscriptions paid annually, excluding taxes. Promotional standalone Copilot Business pricing is $18 per user/month through December 31, 2026. Availability, eligibility, billing terms, and renewal pricing may vary.
The takeaway?
For just $10 more per user per month than Business Premium alone, eligible commercial businesses can get the integrated Business Premium with Copilot package.
For a business with 25 employees, that's an additional $250 per month to equip all 25 users with Copilot.
Whether every employee needs it is a separate question. Not everyone will benefit equally, and licensing the right people is smarter than licensing everyone simply because you can.
Why We Like Business Premium at MAKIOS
Copilot gets most of the attention because AI is exciting.
But there's another part of this conversation that matters just as much: cybersecurity.
Business Premium includes important security and management capabilities such as Microsoft Defender for Business, Microsoft Intune, and Microsoft Entra ID P1.
These tools help businesses protect devices, manage access, enforce security policies, and reduce exposure to common cyber threats.
That matters because making employees more productive while ignoring security isn't much of an improvement.
At MAKIOS, we believe productivity and security should work together, not compete for attention.
Business Premium provides a stronger foundation for that approach.
Copilot builds on top of it.
What About Nonprofits? The Math Can Be Very Different.
Here's something many organizations don't realize: the best Microsoft 365 Copilot offer isn't necessarily the same for everyone.
Commercial businesses and qualifying nonprofit organizations can have very different licensing options.
Eligible nonprofits may already receive significant discounts on Microsoft 365 Business Premium.
In those cases, keeping the nonprofit-priced subscription and adding a separate Copilot license may be more economical than purchasing the standard commercial bundle.
Microsoft has also introduced additional nonprofit-specific Copilot promotions available to eligible organizations through December 31, 2026.
This is why we don't recommend choosing a Microsoft 365 subscription based on one advertised price.
The right combination depends on your organization's eligibility, existing subscriptions, requirements, and contract terms.
Sometimes the bundle wins. Sometimes a separate license makes more sense.
The goal is to get the right capabilities without paying for something you don't need.
One Important Detail: Copilot Isn't Automatically Allowed to See Everything
Microsoft 365 Copilot uses the permissions already assigned within your organization's Microsoft 365 environment.
That means it isn't supposed to give an employee access to information they're not authorized to see.
However, there's a catch.
If your organization has historically given employees overly broad access to SharePoint sites, Teams files, or other shared documents, Copilot may make that already-accessible information easier to find.
The underlying problem isn't necessarily Copilot. It's the permissions nobody reviewed.
Before rolling out AI broadly, businesses should review their access controls, data sharing, and information protection policies.
At MAKIOS, we view that as part of implementing AI responsibly.
Powerful tools are useful. Powerful tools with proper controls are better.
Start Small. Find the Value. Then Expand.
You don't need to deploy Copilot across your entire organization on day one.
In fact, we generally prefer a more deliberate approach.
Start with employees who spend significant time working in Outlook, Teams, Word, Excel, or PowerPoint.
Identify a few repetitive tasks that consume valuable time.
Give those employees the right tools and some practical guidance. Then evaluate whether Copilot is actually helping.
Are meetings producing clearer action items? Are reports taking less time to prepare? Are employees finding information faster?
Those are meaningful results.
An AI subscription that nobody uses is simply another monthly expense, and businesses already have plenty of those.
The Bottom Line
AI doesn't have to be complicated, expensive, or another tool your employees have to learn.
Microsoft 365 Copilot brings practical AI capabilities into applications businesses already use every day. With the permanent Business Premium with Copilot offering, getting started is also more affordable and predictable for many commercial organizations.
The trick isn't giving everyone AI. It's giving the right people the right tools, backed by the right security, and making sure those tools actually improve how work gets done.
Less time managing work. More time getting it done.
That's technology working the way it should.
At MAKIOS, we help businesses evaluate, implement, secure, and manage Microsoft 365 so technology supports the business instead of becoming another thing to manage.
